How we handle information you share with IndyRooms.

This Privacy Policy explains how IndyRooms (“IndyRooms,” “we,” “us,” or “our”) collects, uses, and shares information when you use this Site and related IndyRooms pages (the “Site”), including when you submit a rental application.
We may update this Privacy Policy from time to time. When we do, we will post the revised version on this page and change the “Last Updated” date above. The updated Policy is effective when posted. Please review this page periodically.
Who we are
IndyRooms is a site for thoughtfully matched room rentals across Indiana. Indianapolis is our origin and home base; IndyRooms is an independent Indiana brand. This Policy covers information collected through the Site and our application process.
Information we collect
We collect information you choose to provide, including when you apply:
- Identity and contact details (such as name, email address, and phone number)
- Application details you submit (such as household, employment, preferences, screening answers you choose to give, and your message)
- Communications related to your application
We also collect limited technical information when you use the Site (such as browser type, device type, approximate location derived from IP address, pages viewed, and basic log data). If we enable a bot-protection or security check (for example, Cloudflare Turnstile), that provider may process technical signals needed to run the check.
How we use information
We use applicant and Site information to:
- Receive, store, and evaluate your housing application and housing fit
- Contact you about this application by email, text (SMS), or phone, as you agree on the Apply form
- Operate, secure, and improve the Site and our application workflow
- Send operational notices (for example, that we received your application or need clarifying information)
- Comply with law and protect the rights, safety, and property of applicants, residents, and IndyRooms
Submitting an application does not mean you are approved and does not create a lease.
We do not sell your applicant information
We do not sell your applicant information. We do not share applicant information for cross-context behavioral advertising. If that ever changes, we will update this Policy and any required Apply-face notices before we do.
How we share information
We may share information with:
- Service providers who help us run the Site and process applications (for example, hosting, database, email delivery, and security/bot-protection tools), under instructions to use the information only to provide their services to us
- Professional advisors (such as lawyers or accountants) when needed
- Authorities or others when we believe disclosure is required by law, legal process, or to protect rights and safety
- A successor if IndyRooms is involved in a merger, acquisition, or asset transfer, subject to this Policy’s protections
We do not use the Apply form’s single consent checkbox as authorization for a consumer background check. If a background or screening check is required later, we will use a separate process and disclosures as needed.
Text (SMS) and phone
If you provide a phone number and agree on the Apply form, we may contact you by text (SMS) or phone about this application. Message frequency varies. Message and data rates may apply. You can ask us to stop texts about your application by replying STOP to a text from us or by emailing us using the contact method below. Stopping texts does not automatically withdraw your application.
Cookies and similar technologies
The Site may use essential cookies or similar technologies needed for security, basic operation, and remembering preferences. We do not run advertising pixels to sell or share applicant information. If we add non-essential analytics or advertising tools later, we will update this Policy and use any consents or controls the law requires.
Retention
We keep application and related records as long as needed to evaluate housing fit, respond to you, operate IndyRooms, resolve disputes, and meet legal or accounting requirements. We then delete or de-identify information when we no longer need it for those purposes.
Security
We use administrative, technical, and organizational measures designed to protect information we maintain. No method of transmission or storage is 100% secure. Please use a strong unique password on your email account and be cautious with unexpected links.
Your choices
You may request access to, correction of, or deletion of applicant information we hold, subject to legal exceptions (for example, where we must keep records). To make a request, contact us as described below. You may also decline to provide optional form fields; some fields are required to submit an application.
Children
The Site and application process are intended for adults (18+). We do not knowingly collect applicant information from children under 13. If you believe a child submitted information, contact us and we will take appropriate steps.
U.S. state privacy notes
Depending on where you live, you may have additional rights under state law (for example, to know, delete, or correct personal information). We will not discriminate against you for exercising rights available to you. Because we do not sell applicant information, we do not offer a “Do Not Sell” opt-out for that practice at this time.
